Automatic Annual Performance Report Computation


Eliminate Data Entry
Estudias integrates with your student information system (i.e. Datatel Colleague, PeopleSoft, SCT Banner) to generate the entire Annual Performance Report with almost no data entry.

Automatic integration with your student information system will:

  • Improve accuracy - Re-entering data is error-prone.  Unless you spend as much time checking the data as you do entering it, you are almost guaranteed to have errors in your Annual Performance Report.
  • Improve productivity and morale - Let your staff spend time with students rather than mindlessly duplicating data entry

Automate Calculations
Estudias uses the imported data to automatically calculate many of the fields.  For example, Estudias:

  • Recognizes when a Prior Year Participant returns to your institution (even if they don't tell you) and automatically adds the student to the APR without any data entry.
  • Automatically sets values in accordance with Section 5 regulations (i.e. for Prior Year Participants, Estudias will automatically set the Cumulative GPA to 9.999)
  • Calculates fields such as "Last Served Date" from Contacts
  • Calculates fields such as "Enrollment Status" from downloaded academic information

Example
In the example below, you see a sampling of the fields from Section 5 of the Student Support Services APR that are computed automatically from downloaded student information. In the first highlighted row, you see that Estudias has automatically determined from enrollment information that the student was a prior year participant no longer enrolled at the school (PartCD = 4), determined the Last Served Date was 1/13/1999 (LastSerDT = 01131999) and set the Cumulative GPA to 9.999 to indicate that it the GPA is not applicable for prior-year participants no longer enrolled. None of this data was entered by the user -- it was all calculated automatically based on student contacts and information downloaded from the student information system.

The second row shows another student where Estudias looked at enrollment records and record of contacts to determine that the student's participant status was "Continuing" (PartCD = 2). It also looked at the student's enrollment for the reporting year to determine that because the student was enrolled ½ time for the fall semester and 3/4 time for the spring, the student's enrollment status should be "Varied Enrollment Status" (EnrollCD = 5). Estudias has also set the GPA based on downloaded information. Based on financial aid information automatically downloaded, Estudias has computed the financial need of the student, totaled up the amount of financial aid awarded, and added the family contribution to determine the total amount offered to be $7,066 (FinAidOfferAMT = 07066) and the amount unmet to be $1,747. Estudias has also looked at each award to determine automatically the amount Student Support Services has given: $400 (SSSGrantAid = 00400)

Again, all of this was done automatically.  Estudias users with automatic downloads never have to calculate the Participant status or any of the other fields.
